Executive Assistant - Fellowship

About Starfish Project: Starfish Project was established in 2006 to empower exploited women in Asia. The Project developed a socially responsible jewelry business in order to provide women with alternative employment and a range of holistic care opportunities. In 2011, the project has grown to support approximately 35 women in 2 different cities, primarily through the jewelry company where women have taken on new levels of responsibility and leadership, and are able to provide for their families through meaningful employment. Starfish Project also provides opportunities for women to heal and grow through counseling, vocational training, language acquisition, family education benefits and health care access, as well as providing housing in our women's shelter. Location: Beijing

Department: Operations

Purpose of Role: To provide personal administrative support and assistance to the Executive Director.

Commitment: 6 months – 1 year, full-time

Reports to: Executive Director

Staff directly reporting to this position: None

Key Tasks & Responsibilities

  • Prepare and edit correspondence, communications, presentations and other documents
  • File and retrieve documents and reference materials
  • Manage and maintain the Executive Director's schedules, appointments and travel arrangements
  • Record, transcribe and distribute minutes of meetings
  • Monitor, respond to and distribute incoming communications on behalf of the Executive Director
  • Receive and give tours to incoming visitors
  • Where necessary, liaise with internal staff at all levels and interact with external clients on behalf of the Executive Director
  • Other administrative or clerical tasks as required

Qualifications and Experience

  • Proficient user of MS Office Suite
  • Excellent organizational and planning skills
  • Experience in and knowledge of standard office administrative practices and procedures
  • Ability to maintain strict confidentiality where necessary
  • Excellent English communication skills, both written and verbal. Mandarin Chinese a plus.
  • Strong problem analysis and solving skills
  • Strict attention to detail and accuracy
  • Initiative and flexibility highly desired
  • Experience working in a multi-cultural organisation or a non-profit a plus
