About the Position:

Sustainable Brands '13 is the 7th annual conference where we bring together business executives from all over the world for four amazingly packed days of plenaries, breakouts, networking events, an expo with over 100 exhibitors, an innovation open, and so much more. You'll be working directly with the Operations team, who is responsible for everything from the coordination of exhibitors at the expo, fulfillment of sponsor agreements, coordinating catering, coordinating with the hotel to plan the networking events, work with AV teams to coordinate slides and videos for each presentation, oversee registration on-site and as well as volunteer team, putting on awesomely fun evening events, keeping our Sustainability Team focused, and making sure the event is a roaring success down to every last detail. This is an unpaid internship, but the position includes travel & expenses to San Diego for the conference from June 3 – 6, so please keep in mind; we are always looking for qualified individuals to join our team, so the potential for future employment is there for the right candidate and this position is an incredible networking none-the-less.

About You:

You are passionate about sustainability playing a role in the business space. You are detail-oriented, great at organizing and planning, and can easily multi-task without getting too overwhelmed. You are eager and willing to learn and above all can do so in a fast-paced work environment. You are an effective and professional communicator. You are good at working in a team, but can be responsible for your own tasks and can take initiative when necessary. You are motivated and self-disciplined and can see a project through from start to finish without a lot of hand-holding. Multi-media skills such as audio/video editing or graphic design skills would be a great bonus. And most importantly, you are willing and able to go above and beyond all the while having a fun-loving attitude!

Now on to the nitty-gritty…

Assisting the Event & Faculty Coordinator in the following responsibilities:

  • Assisting with pre-conference preparation:
    • Maintain faculty webpages by creating new faculty profiles, and updating existing profiles which may require you to find and pull speaker bios and photos online from time to time (experience with Drupal and HTML a plus)
    • Maintain member accounts on website
    • Assist with crafting and tracking speaker proposal and volunteer application non-acceptances
    • Manage spreadsheets for hotel RFP comparisons, attrition tracking and discount codes
    • Assist with the coordination of ordering and preparing conference materials
    • Contribute to the brainstorming and planning of SB'13 special events
    • Conduct research as necessary
    • Coordinate recruitment for SB'13 Volunteer team
  • Support duringthe conference:
    • Serve as immediate on-site assistance for Event & Faculty Coordinator
    • Assist with Registration desk set-up and take down every day
    • Serve as extra help for other SB Team members with set-up of evening events, and other on-site activities
    • Oversee all volunteer coordination on-site and act as SB'13 Volunteer Manager
  • Support after the conference:
    • Edit and upload SB'13 presentations to the SB Learning Library
    • Coordinate with entire Conference Operations team to conduct attendee follow-up and reviews
    • Ensure that all invoices associated with SB'13 have been paid to vendors

Schedule

We're looking for a valuable addition to our team with a high potential for growth into a full-time position for the right fit. So if you are the right person, we are willing to be flexible with the timing of this internship. However, this is a general outline of what we'd expect:

  • Starting January
  • Jan – March: 2 days per week or approximately 10-15 hours per week
  • April & May: 2-3 days per week or approximately 20-25 hours per week
  • June 2nd-6th: In San Diego full time on-site at Paradise Point
  • After conference: Potential for growth/further employment
