The Volunteer Administrative Assistant position provides administrative support for the entire organization fulfilling duties as assigned by the acting Executive Director, Communications and Recruitment Support Coordinator and Development Director. The position includes general administrative duties, handling details of confidential nature, general organization of electronic files, job postings, and some social media interface.
Qualifications:
- Prior Administrative Assistant experience or current enrollment in Administrative support schooling program
- Excellent verbal and written communication and people skills in English
- Organized and punctual
- Ability to make decisions in a collaborative, professional environment
- Ability to work as part of a team and follow through with directions
- Proficient in MS Office especially Excel, Word, Outlook
Tasks you may be asked to perform include:
- Assist with general admin functions;
- General office organization and process management;
- General data entry including proper management of donor contact information and updating of current donor database;
- Set up templates for sources, funds, and other reporting. Communications with donors including Thank You acknowledgements, via phone calls, email and email correspondence;
- Coordinate appointments and calendar for acting executive, collect and prepare information for meetings;
- Support Board of Directors by providing support in scheduling, preparing agendas, preparing minutes and coordinating Board level committee meetings and functions;
- Assist with special projects, creating documents and reports and statistical tracking utilizing computerized applications for word processing, spreadsheets, databases, graphics and web page content preparation;
- Assist with newsletter production;
- Update box.com documents, organize data and make more accessible to all end users;
- Maintain equipment supplies, maintain marketing materials supplies;
