EVENTS COORDINATION ASSISTANT

SKIP is a charity working with disadvantaged families in an impoverished district of the city of Trujillo, Peru. Our holistic program focuses on the educational, economic, emotional and social development of each child and family. Our aim is to foster the capacity of children and families to be the principal agents of change in their own lives.

Events coordination

Although as an organization SKIP's focus is on the year-long activities of its education program, we also organize many special events to complement this program. The Events department takes responsibility for these special events, and is in constant contact with the city's local organizations. This department's activities include health and prevention campaigns, special celebrations, and student excursions. Its general objective is to guarantee the success of SKIP events through the involvement of SKIP itself, local organizations or individuals, and the program's beneficiaries.

The position

The Assistant Events Coordinator will work with our Events Coordinator to organize events. The assistant will be required to:

  • Establish and maintain permanent communication with Project Coordinators in regards to the institutions largest, most all-encompassing events
  • Plan, with due anticipation, timelines that schedule each phase of the organization of an event and the resources involved in its success
  • Coordinate the logistics of each event according to available resources
  • Assist with the organization of the events in which the institution is involved.

This department has variable working hours according to schedules of the businesses and organizations with which we work: the hours may vary between early mornings and night shifts. Events team meetings are held every two weeks, although they may be held more regularly in the weeks before an event. Events usually take place on Saturday mornings.

Responsibilities

The assistant will work under the supervision of the Events Coordinator, and be responsible for:

  • Correct performance of work activities
  • Adherence to the established budget, guided by the principles of austerity, honesty, legality, rationality, transparency and optimization of resources in benefit of the organization
  • Maintenance of optimal relationships with other SKIP departments, local organizations, and other actors, in order to reach the organization's objectives
  • Obtaining the resources necessary to cover each event's costs
  • Fundraising for events, through donations and non-financial collaborations
  • Support other departments via the provision of any materials or contacts that may be necessary.

Profile

We are looking for a candidate who is committed to the work we do and interested in working as part of the SKIP team.

Requirements:

  • Fluent Spanish
  • Capable of working under pressure
  • Excellent communication skills, both written and verbal
  • Excellent management and organization skills
  • Capable of working with an international team of diverse cultures and ideologies
  • Negotiation and bargaining skills
  • Flexibility and tolerance
  • Good interpersonal and service skills
  • Critical and creative spirit
  • Computer skills including Internet and Office (Word, Excel, Powerpoint)

Desired:

  • Familiarity with management at a local level
  • Familiarity with Peruvian culture
  • English language skills

Financial contribution

We do ask volunteers to make a contribution to the charity in return for volunteering. We know it can seem a bit strange to 'pay to work' but this is how we fund the charity and you will see where the money is going when you are here - 59% of our annual budget currently comes from the volunteer contributions and additional fundraising done by current and ex volunteers.

Accommodation is provided and the cost is included in the donation - this ranges from GBP£350 to GBP£125 (US$540 - US$190) per month, depending on the length of stay. Please see the website for more information: http://www.skipperu.org/en/volunteer/contributionfees
